Registration Rules and Conditions - NOVA LANGUAGE COLLEGE (NOVA WAY HOLDING CORPORATION)
1. Class Structure:
NOVA's classes are free-discussion based, encouraging active participation. Students are expected to engage in the topics provided.
2. Attendance Policy:
Regular attendance is essential. If a student is absent for more than three (3) sessions, they will fail the course and not pass the level, though they may continue attending classes until the end of the course.
3. Course Completion:
To successfully pass the course, regular attendance and active participation are required. Failure to meet attendance policies results in failure of the level.
4. Minimum Class Size:
A class will only be formed if there are a minimum of eight (8) registered students. If the required number is not met, students will be placed on a waiting list for the next available session.
5. Waiting List and Refund Policy:
Students who remain on the waiting list for more than three (3) months are eligible for a full refund of their tuition upon request.
For private and consultation sessions, there is a no-refund policy under any circumstances. Once a session is booked, it cannot be canceled or rescheduled. Please ensure your webcam, internet, microphone, and all other necessary equipment are in working order, as they are fundamental for the sessions.
6. Cancellation of Registration:
If a student wishes to cancel their registration, it must be done at least 30 days before the term starts. A refund will be processed with a 20% deduction from the total tuition. No refunds will be available for cancellations made within 30 days of the term start.
7. Private Session and Consultation Sessions Specific Terms:
All private and consultation sessions at Nova Language College are strictly one-on-one. These sessions are reserved exclusively for the individual who booked the appointment, and attendance cannot be shared or transferred to another person.
If someone explicitly shares links, steals information, or takes any action that compromises the private, one-on-one nature of the session, the sessions will be immediately terminated. An invoice of $750 CAD + GST will be issued for each such incident and will be due immediately, to compensate for the loss of intellectual property caused by the individual’s actions.
Classroom Rules
1. Join on Time:
Be punctual and ready to join a few minutes before the session starts to ensure technical readiness.
2. Mute Your Microphone:
Keep your microphone muted when not speaking to minimize background noise.
3. Use the Chat Responsibly:
The chat function should be used for relevant questions or comments, avoiding off-topic discussions.
4. Respect Others' Opinions:
Engage with your classmates respectfully, valuing everyone’s input and avoiding interruptions.
5. Stay Engaged:
Actively participate in discussions, group activities, and other class interactions.
6. Minimize Distractions:
Find a quiet, distraction-free space for class. Avoid background noise such as TV or music.
7. Use the Raise Hand Feature:
If you have a question, use the “raise hand” feature so the instructor can acknowledge you.
8. Keep Video On:
Keep your video on during the session to create a more interactive and engaging environment.
9. Prepare for Class:
Review your notes and summaries before class, especially new words and grammar.
10. Follow Breakout Room Instructions:
When placed in breakout rooms, follow the instructions promptly and collaborate effectively.
11. No Recording:
Recording sessions is not allowed unless explicitly permitted by the instructor and all participants.
Dispute Resolution Policy
1. Student Responsibilities:
Students should communicate concerns in writing to the instructor. If unresolved, they can escalate the issue to the Director of Education.
2. Director of Education Responsibilities:
Within 5 business days, the Director will review and work to resolve the issue.
3. Escalation:
If unresolved, students may escalate the issue to higher management. The dispute process, including appeals, will be completed within 30 days.
Class Cancellations and Makeup Sessions
1. Class Cancellations:
If a class session is canceled, a makeup session will be scheduled before the last session of the term, as the term cannot be extended.
2. Scheduling Makeup Sessions:
A survey will be sent to students with several date options for the makeup session. The date with the most attendees will be selected.
Anti-Bullying/Anti-Harassment/Anti-Discrimination Policy
1. Scope of Policy:
NOVA enforces a zero-tolerance policy for bullying, harassment, or discrimination of any kind. This applies to both students and staff.
2. Zero Tolerance:
Acts of bullying, harassment, or discrimination based on race, gender, sexual orientation, disability, or other protected characteristics will lead to disciplinary action, including suspension or dismissal.
3. Online Conduct:
Online harassment or bullying will be treated as seriously as in-person misconduct.
4. Reporting Obligations:
Any form of harassment or discrimination must be reported to the Director of Education or an instructor. NOVA will take prompt action to investigate and resolve the issue.
Discipline Policy
1. Student Conduct:
All students are expected to act professionally and respectfully.
2. Misconduct:
Misconduct, such as academic failure, poor attendance, dishonesty, or violating school policies, may result in dismissal.
3. Immediate Dismissal:
Serious offences, including violence or harassment, will result in immediate dismissal.
4. Appeal Process:
Students dismissed will be notified in writing and may appeal the decision within 5 days of the dismissal notice.
5. No Refund for Expulsion:
Students expelled due to misconduct will not receive refunds for tuition.
Privacy Policy
1. Personal Information Collection:
NOVA collects personal information such as names and contact details for registration and administrative purposes.
2. Use of Information:
Personal data is used for registration, administration, and to enhance the student experience. Credit card information is securely handled by third-party processors and not retained by NOVA.
3. Cookies and IP Addresses:
NOVA may use cookies for secure logins and technical maintenance. IP addresses may be collected for system management but are not used for marketing purposes.
4. Consent:
By enrolling, students consent to the collection and use of personal information as per NOVA’s privacy policy.
